Cloud EPOS and card payment solutions for UK businesses
If you are weighing up a cloud based EPOS system in the UK, you have probably noticed a pattern. The till company wants to talk software, the card provider wants to talk rates, and the lender wants to talk turnover. Nobody is looking at the whole picture, and you end up chasing three suppliers for one problem.
That gap is where EposCloud works. We are an independent review and introduction service. We look at what you pay to take card payments, how your tills and stock systems behave on a busy day, and where funding could help you grow. Then we introduce the options worth considering from selected providers. We do not make the software ourselves, and you are never obliged to switch.

Our three solutions: card payments, EPOS and funding
Card Payment Solutions
Fee reviews, terminal options and set-ups matched to how your customers pay, whether by tap, chip, phone or link.
EPOS Systems
Tills, stock and reporting that talk to your payments instead of sitting beside them.
Business Funding
Working capital, asset finance and merchant cash advances through selected providers. Funding is subject to status, eligibility and provider approval.
Your till in the cloud — what that actually means
A cloud based EPOS system is an electronic point of sale system whose software and sales data live on secure internet servers rather than on a single till in your premises. You use it through a tablet, touchscreen, handheld or browser, and your sales, stock and reports sync automatically.
You will also see it called cloud based point of sale or cloud POS software. For a small business they mean much the same thing.
What happens when the signal drops?
It is not magic, though. A cloud system depends on your internet connection, so ask every provider what happens when the signal drops.
Security deserves a question too: the National Cyber Security Centre’s Small Business Guide is a practical checklist for backups, passwords and phishing.
The Spreadsheet vs. Paper Ledger Analogy
Think of the difference between a paper ledger on a shelf and a shared spreadsheet. The ledger lives in one place. The spreadsheet updates wherever you open it. A cloud till behaves like the spreadsheet.
Why we review both at the same time
Picture a Friday night. A server keys £47.50 into the till, walks to the card machine and keys £47.50 again. Slip a digit once and the end-of-night figures stop matching. An integrated EPOS system removes that second step.
| Feature | Separate Till & Card | Integrated EPOS |
|---|---|---|
| Entering Amount | Typed twice | Sent automatically |
| Risk of Mismatch | Higher, as amounts can differ | Lower, with one record per sale |
| End of Day | Matched to card takings by hand | Card takings sit alongside sales |
| Refunds | Often handled on both devices | Often one place (varies by provider) |
The Honest Approach
Integration is not always the answer — sometimes a better rate on the setup you already have is the right outcome, and we will say so. Our pages on EPOS systems and card payment solutions explain both sides in more detail.
EPOS solutions for small businesses, by sector
A bakery and a boutique hotel both need a till, but not the same till. Every trade has its own pressure points, so each has its own page.

Check what you pay before you compare anything
Your effective rate is everything you pay to accept cards in a month, divided by the amount you took on cards. Your latest merchant statement has the figures.
Here is why it matters. Imagine a shop that takes £12,000 a month on cards at an effective rate of 1.6 per cent. That is £192 a month. At 1.3 per cent it would be £156, a difference of £36 a month or £432 a year. That is an illustration, not a quote.
UK rules cap the interchange fee at 0.2 per cent for consumer debit cards and 0.3 per cent for consumer credit cards on UK transactions, but interchange is only one slice of the bill. Your provider adds its own charges, plus scheme fees and any terminal rental, so similar businesses can pay quite different rates.

Common questions
A cloud based EPOS system is an electronic point of sale system that keeps its software and sales data on secure internet servers instead of on one till. You run it from a tablet, touchscreen or browser, and sales, stock and reports sync across every till and site.
Many do, to a degree. A good system keeps recording sales when the internet drops and syncs afterwards. Card payments are different, because the terminal usually needs the payment network. Some terminals store a limited number of transactions offline, but a payment may later be declined. Ask each provider to confirm its offline behaviour in writing.
There is no single price. A quote combines hardware (bought or rented), a monthly software subscription per till or site, card processing charges and extras such as online ordering. Ask each provider for the total monthly cost, contract length and exit terms so you compare like with like. Our EPOS systems page covers the cost drivers in more detail.
Sometimes. If the rate is the problem and your terminal works well, a better deal on the same setup may be the best outcome, and we will tell you so. Integration needs a compatible terminal. Either way, check your contract's end date, notice period and any early termination fee before changing anything.
Yes. The review and the figures we share cost nothing and carry no obligation. If you go ahead, the provider sets its own prices and terms, and you will see them before you commit. Our provider and introducer disclosures explain how we work with providers.
